Facility Use and Booking Guidelines

  • To ensure our church facilities serve the entire community effectively, we encourage all brothers and sisters to look not only to their own interests but also to the needs of other ministries (Philippians 2:4).

  • Please note that church facilities are for internal use only; all bookings must be made under a fellowship or ministry.

  • When booking, please select a room with a capacity and facilities appropriate for your event. In cases of overlapping needs, ministries are encouraged to communicate and collaborate on shared arrangements.

1. Booking Responsibility

  • Event Coordinator: The applicant who submits the booking form is designated as the default Event Coordinator. They are responsible for overseeing room setup, cleanliness, and the proper use of equipment.

  • Approvers: Each Ministry or Fellowship Coordinator acts as the Approver for their group’s bookings. All requests must be approved by the respective Approver before they are confirmed.

2. Booking Procedures

  • Advance Booking Notice: Please submit booking requests at least one week before the event unless there are special circumstances..

  • Availability Check: Before submitting, please review the 675/685 Facility Utilization Calendar to confirm availability.

  • Booking Overlap: If a room is already booked, please select an alternative time or space. If your ministry has a mandatory usage for a specific room, contact the Church Office to facilitate a discussion with the current occupant for a possible arrangement.

  • Confirmation: The Church Office will notify you of your booking status once approved.

  • Cancellations: If a room is no longer required, please notify the Church Office immediately to cancel the booking.

3. Event Coordinator Responsibilities

The Event Coordinator is strictly responsible for the following:

  • Room Setup & Restoration: Ensure the room is restored to its original layout and condition immediately following the event.

  • Energy Conservation: Verify that all lights, fans, and electronic equipment are powered off before departure.

  • Hygiene & Waste Management: If the event involves food or refreshments, the space must be thoroughly cleaned. All garbage must be properly bagged and disposed of in designated bins at 675 and 685.

  • Use of transport equipment: Return all borrowed items (e.g., handcarts to 685 Room 307 storage at 685) and ensure safety precautions are followed when using.

  • Support Contacts:

    • Audio Equipment Assistance: Peter Ng at (416) 918-6223.

    • Room Access/Locking: Leo Wu at (416) 417-4198 (Available Mon–Fri after 7:00 PM; Sat after 6:00 PM). Detailed contact info is also posted on each floor.

4. Gym Booking for Sports Activities

  • Waivers: All participants must complete a Release Waiver Form the first time they join a specific sporting activity.

  • Different activities: A new waiver must be submitted if a participant joins a different type of sporting event.

5. Parking Arrangements

  • Fellowship Members: Coordinators should remind participants to apply for an Annual Parking Permit via the church website at least two days in advance.

  • Non-Fellowship/Sports Events: Participants must apply for a Paper Parking Permit through the activities coordinator at least two days in advance.

  • One-Day Permits: For events outside office hours, coordinators obtain a one-day valid paper parking permit from the cabinet in front of Room 201 on the 2nd floor of 685.

  • Public Talks / Conferences / Events:
    The coordinator must contact the office at least one week before the meeting to request the cancellation of parking enforcement patrols issuing tickets during the event period.

場地使用與預約指引

  • 為確保教會設施能有效地服事整個群體,我們鼓勵弟兄姊妹在顧及自己需要的同時,也顧及其他事工的需要(腓立比書 2:4)。

  • 教會設施僅供內部使用;所有預約必須以北約華人浸信會認可團契或事工的名義進行。

  • 預約時,請選擇空間大小及設施均適合該活動的房間。若遇場地需求重疊,各事工應互相溝通並協調共用安排。

1. 預約責任

  • 活動負責人: 提交預約表單的申請者即為「活動負責人」,須負責監督活動期間的場地佈置、清潔及器材的正確使用。

  • 審批人: 各事工或團契的負責人(Coordinator)即為其小組預約的審批人。所有預約申請必須先經相關審批人批准後方可確認。

2. 預約程序

  • 提前預約申請 : 除特殊情況外,請至少在活動前七天提交預約申請。

  • 查看餘位: 提交申請前,請先查閱 675/685 場地使用狀況表以確認場地是否可用。

  • 預約重疊 : 若房間已被預約,請考慮其他時間或地點。若您的事工必須需求使用該特定房間,請聯絡教會辦事處,以便協助聯絡目前的預約事工協商合適的安排。

  • 確認通知: 預約獲得批准後,教會辦事處將通知您預約狀態。

  • 取消預約: 若不再需要使用房間,請立即通知教會辦事處以取消預約。

3. 活動負責人職責

活動負責人必須嚴格執行以下職責:

  • 場地復原: 確保活動結束後立即將房間恢復至原有的佈置與狀態。

  • 節約能源: 離開前確認已關閉所有電燈、風扇及各項電子設備。

  • 衛生與垃圾處理: 若活動涉及膳食或茶點,必須確保空間清理乾淨。所有垃圾必須妥善裝袋並棄置於675 及685大廈的指定垃圾桶內。

  • 運輸器材使用 歸還所有借用的教會公物(例如:將手推車歸還至 685 號樓 307 室儲物間),並確保使用時注意安全。

  • 支援聯絡資訊:

    • 音響器材使用協助:Peter Ng 416-918-6223。

    • 房間閞門/鎖門:Leo Wu 416-417-4198(服務時間:週一至五 7:00 PM 後;週六 6:00 PM 後)。各樓層亦貼有詳細聯絡資訊。

4. 體育館體育活動預約

  • 免責聲明: 所有參與者在首次參加特定體育活動時,必須填寫並提交一份免責聲明書 (Release Waiver Form)。

  • 不同活動 : 若參與者參加不同的體育項目,必須重新提交相關項目表格。

5. 泊車安排

  • 團契成員: 負責人應提醒參與者透過教會網站至少提前七天申請年度泊車許可證。

  • 非團契/純體育活動: 參與者必須至少提前三天透過活動負責人申請紙本泊車許可證。

  • 嘉賓泊車許可證: 申請必須於參加教會活動前至少三天提交。

  • 單日許可證: 活動負責人可為新參加者發放一日臨時泊車許可證, 供在教會辦公室辦公時間外使用。

  • 公開講座/會議/活動:負責人必須於會議舉行前至少七天聯絡辦公室,申請在活動期間取消人員巡查及開立罰單。
